ERPNext for auto workshops and garages brings vehicle intake, job cards, spare parts, technician time and billing into one system. ERPNext does not ship with a dedicated "garage module", but its stock, sales, projects, support and accounting features cover most of the workflow, and a few custom DocTypes fill the gaps for vehicle records and job cards.
Who this is for: owners of multi-bay car and bike workshops, body shops, tyre and battery centres, fleet maintenance workshops and spare parts dealers in India (including Kerala) and the GCC: the UAE, Saudi Arabia, Qatar, Kuwait, Bahrain and Oman.
Key takeaways
- Vehicle-first records: keep each vehicle with its plate, VIN, make, model and full service history, linked to the customer.
- Job cards drive everything: complaints, inspection, parts, labour and approvals flow from one job card into the invoice.
- Parts stock you can trust: issue parts against the job, not from memory, so stock and job cost stay correct.
- Tax-ready invoices: ERPNext handles GST in India and VAT in the GCC, with separate lines for parts and labour.

Why workshops outgrow manual job cards
Most garages begin with printed job cards, a parts register and a billing tool. As bays and technicians increase, the same issues come up again and again:
- Parts used but never billed. A filter or bulb goes into the car, but nobody adds it to the bill.
- No service history. When a regular customer returns, staff cannot see what was done last time or when the next service is due.
- Unclear job status. Customers call to ask if their car is ready, and the front desk has to walk to the bay to check.
- Technician time is invisible. You cannot see which jobs ran over time or which technician is most productive.
- Insurance and warranty work is hard to track. Claims, approvals and payments sit in separate files.
The workshop workflow in ERPNext
| Workshop step | ERPNext feature used |
|---|---|
| Customer and vehicle details | Customer, plus a custom Vehicle DocType (plate, VIN, make, model, year, odometer) |
| Booking an appointment | Appointment, or a simple booking form on the ERPNext website |
| Vehicle check-in and inspection | Custom Job Card DocType with complaints, inspection checklist and photos |
| Estimate for the customer | Quotation with parts and labour lines |
| Parts issue | Stock Entry or Material Request linked to the job card |
| Technician work | Timesheet or labour lines on the job card, by employee |
| Final bill and payment | Sales Invoice, POS or Payment Entry |
| Warranty and complaints | Warranty Claim and Issue in the Support module |
Vehicle records and service history
A custom Vehicle record links to the customer and stores the plate number, VIN or chassis number, make, model, year, fuel type and last odometer reading. Every job card and invoice is linked to the vehicle, so the history screen shows all past services, parts replaced and amounts billed. If a vehicle changes hands, you re-link it to the new owner and keep the history.
Job cards, approvals and status
The job card is the centre of the workshop. It records the customer's complaints, the inspection checklist, the estimate, the assigned bay and technician, and the status (for example Checked In, Awaiting Approval, In Progress, Quality Check, Ready, Delivered). ERPNext workflows can require customer or service advisor approval before extra work is added, and notifications can send updates by email, SMS or WhatsApp.
Spare parts inventory
Parts are where workshop margins are won or lost. ERPNext's stock module gives you:
- Part numbers and alternates. Store OEM and aftermarket part numbers, and use Item Alternatives so staff can offer a substitute when a part is out of stock.
- Reorder levels. Fast-moving items like oil filters, brake pads and wiper blades can be reordered automatically.
- Bin and rack locations. Warehouses and sub-locations help storekeepers find parts quickly.
- Barcodes. Scan parts when issuing them to a job so nothing is missed.
- Batch and serial tracking. Track batteries and tyres by serial number for warranty claims.
Because parts are issued against the job card, the invoice can pick up every part automatically, and the job cost report shows parts cost against parts revenue. Our ERPNext inventory management page explains the stock features in more detail.

Labour, technicians and bay productivity
Labour can be billed as fixed-price service items (for example "Periodic service – petrol hatchback") or by the hour. Technician time can be captured on the job card or through Timesheets, which lets you report:
- Hours sold versus hours worked for each technician.
- Jobs that ran over the estimated time.
- Revenue and gross margin per bay, per technician and per service type.
Attendance and payroll for technicians run in ERPNext HR. For UAE workshops, salary files can follow the process in our ERPNext WPS payroll guide for the UAE.
Insurance, warranty and fleet customers
Insurance jobs
For accident repairs, the job card can record the insurer, claim number, surveyor and approved amount. The invoice can be split so the insurer is billed for the approved amount and the customer for any excess or depreciation share. Accounts receivable then shows how much each insurer owes.
Warranty claims
ERPNext's Warranty Claim document records complaints against a serial number, such as a battery or tyre. You can track the claim with the supplier and close it when the replacement is received.
Fleet and corporate accounts
Fleet customers often need monthly billing, purchase order numbers on invoices and credit limits. ERPNext supports customer credit limits, payment terms and consolidated invoicing, and a fleet report can show every vehicle's service history and spend.
Service reminders and repeat business
A scheduled job can check each vehicle's last service date and odometer reading and create reminders when the next service is due. Reminders can go out by email or WhatsApp, and the front desk sees a daily list of customers to call. This is one of the simplest ways for a garage to increase repeat visits.
VAT and GST on workshop invoices
| Region | What ERPNext does |
|---|---|
| India | GST invoices with HSN codes for parts and SAC codes for services, e-invoicing where applicable, through the India Compliance app |
| UAE | VAT invoices, tax templates and the VAT 201 return; see our UAE VAT and corporate tax setup guide |
| Saudi Arabia | VAT invoices; ZATCA Phase 2 e-invoicing through marketplace apps |
| Other GCC | Tax templates where VAT applies, and multi-currency for cross-border groups |
Keep parts and labour on separate lines with the right codes. Confirm current rates and any special rules with your tax adviser during setup.
Reports workshop owners actually use
- Daily job board: vehicles in the workshop, their status and expected delivery time.
- Job profitability: parts and labour revenue against cost for each job.
- Technician productivity: billed hours, actual hours and comebacks.
- Parts analysis: fast and slow movers, stock value and margin by brand.
- Receivables: amounts due from customers, insurers and fleet accounts.
A phased rollout plan
| Phase | What goes live |
|---|---|
| 1. Foundation | Company, accounts, tax setup, parts master and opening stock |
| 2. Job cards | Vehicle and Job Card DocTypes, statuses, print formats |
| 3. Billing | Quotation to invoice flow, POS, payment modes |
| 4. People | Technician time, attendance and payroll |
| 5. Growth | Service reminders, fleet billing, insurance tracking, dashboards |
Start with a clean parts master. Duplicate part numbers and wrong units of measure cause most stock problems later.

Frequently asked questions
Does ERPNext have a garage management module?
Not as a ready-made module. ERPNext provides stock, sales, projects, support, HR and accounting, and a workshop setup adds custom Vehicle and Job Card DocTypes, workflows and print formats on top.
Can ERPNext keep the service history of each vehicle?
Yes. Each vehicle is a record linked to its owner, and every job card and invoice is linked to the vehicle, so you can see all past services, parts and amounts in one place.
Can I bill parts and labour separately in ERPNext?
Yes. Parts are stock items and labour is a service item, each with its own tax code. Labour can be fixed-price or hourly, and both appear as separate lines on the invoice.
Can ERPNext send service reminders to customers?
Yes. A scheduled script can check the last service date or odometer reading and create reminders by email or WhatsApp, plus a daily call list for the front desk.
Does ERPNext work for workshops in the UAE and Saudi Arabia?
Yes. ERPNext supports VAT invoices and returns, Arabic-English print formats, multiple branches and currencies. Saudi ZATCA Phase 2 e-invoicing is handled through marketplace apps.
How long does a workshop ERPNext setup take?
It depends on branches, data quality and customisation. A single-site workshop with clean data can often go live in a few weeks; multi-branch setups with insurance and fleet billing take longer. We give a timeline after a short process study.
