ERPNext for gyms and fitness centres puts members, membership plans, renewals, trainer sessions, retail sales and accounts into one system. Its Subscription feature creates recurring membership invoices automatically, and custom DocTypes add the gym-specific parts such as check-ins, freezes and class bookings.
Who this is for: owners and managers of gyms, CrossFit boxes, yoga and dance studios, ladies-only fitness centres, martial arts academies and sports clubs in India (including Kerala) and the GCC who have outgrown spreadsheets or a basic gym app.
Key takeaways
- Memberships bill themselves: Subscription Plans create monthly, quarterly or yearly invoices on schedule.
- One member record: plan, payments, check-ins, PT sessions and purchases in one place.
- Trainers paid fairly: session counts and commissions come from the same data as member billing.
- Renewals and dues: automatic reminders for expiring plans and overdue payments.

Why gyms outgrow simple apps
A single gym can run on a basic attendance app. Once you add branches, personal training packages, a supplement counter and corporate memberships, typical problems appear:
- Revenue leakage from expired members still entering, or renewals collected in cash but not recorded.
- Disputes over trainer commissions because PT sessions are counted by hand.
- No real accounts: the gym app shows collections, but rent, salaries, equipment and VAT or GST sit in a separate accounting tool.
- Little insight into churn: owners cannot easily see which plans renew and which members drop off.
How a gym runs on ERPNext
| Gym need | ERPNext setup |
|---|---|
| Member profile | Customer record with photo, contact, emergency contact, health notes and documents |
| Membership plans | Subscription Plans for monthly, quarterly, half-yearly and yearly memberships |
| Joining fee and add-ons | Items for joining fee, locker, towel service or classes |
| Recurring billing | Subscriptions generate invoices automatically on each billing date |
| Check-in | Custom check-in log, fed from a front-desk scan or an access control device |
| Personal training | PT packages as items, with session tracking on a custom DocType |
| Retail counter | POS for supplements, shakes, apparel and accessories |
| Staff | Employees, attendance, payroll and trainer commissions |
Membership plans and auto-renewal
ERPNext Subscriptions link a customer to one or more plans, with a start date and billing interval. On each billing date the system creates the invoice, and it can be emailed automatically. Discounts for long plans, family memberships or corporate tie-ups are handled with plan prices or pricing rules. Members who pay online can be sent a payment link through a supported payment gateway.
Freezes, upgrades and transfers
Gyms often allow a member to freeze for travel or medical reasons, upgrade from a basic to a premium plan, or transfer a membership. These rules differ from gym to gym, so they are usually built as small custom actions on the member's subscription: a freeze extends the end date by the frozen days, an upgrade changes the plan and bills the difference, and a transfer moves the remaining period to a new member record.
Check-ins and access control
A check-in log records each visit with date, time and branch. Front-desk staff can scan a member card or QR code, or the log can be fed from a turnstile or biometric device through its software or API. The check-in screen shows whether the membership is active and whether dues are pending, so staff can deal with expired members politely before they enter. Visit data also shows peak hours and members who have stopped coming.
ERPNext already works with biometric devices for staff attendance; our post on biometric attendance in ERPNext explains the integration pattern, which is similar for member check-ins.

Personal training and trainer commissions
- PT packages: sold as items (for example 12 sessions), with the session balance tracked per member.
- Session log: each completed session is logged against the member and trainer, reducing the balance.
- Commissions: a report calculates each trainer's commission from completed sessions or package sales, using your rules, and the amount can be added to payroll as a salary component.
- Expiry: packages can have a validity date, with reminders before unused sessions expire.
Classes and group sessions
For studios with timetabled classes such as yoga, Zumba, spin or HIIT, a class schedule DocType lists each class with its instructor, room, capacity and time. Members book a slot from the front desk or a simple web form, and the booking is checked against their plan. Waitlists and no-show rules can be added if you need them.
Retail, cafe and supplements
The ERPNext POS handles counter sales of supplements, shakes, apparel and accessories, with barcode scanning, multiple payment modes and loyalty points. Stock is tracked by branch with batch and expiry dates for consumables like protein powders, so near-expiry stock can be sold or returned in time. Sales can also be charged to a member's account and settled with their next invoice.
Corporate and family memberships
Corporate tie-ups usually mean one company pays for many employees, at a negotiated rate, with a single monthly invoice. In ERPNext the company is the billing customer with its own price list and payment terms, and each employee is a member linked to it. Family plans work the same way: one payer, several linked members, each with their own check-ins and PT sessions. Reports then show usage per corporate client, which is useful when the contract comes up for renewal.
Renewal reminders and member retention
Automated notifications can remind members by email or WhatsApp before their plan expires, when a payment is overdue, and when they have not visited for a set number of days. A simple retention dashboard shows active members, new joins, renewals, expiries and drop-offs by month and by plan, which helps you see what actually keeps members coming back.
Accounts, VAT and GST
Because memberships, retail and expenses all post to the same ledger, ERPNext gives you a real profit and loss by branch. Equipment can be registered as assets with depreciation. In the UAE and other GCC countries where VAT applies, ERPNext prints tax invoices and prepares returns; in India it prints GST invoices with the right SAC and HSN codes. See our ERPNext GST setup guide for India. Long memberships paid upfront may need deferred revenue accounting, which ERPNext supports; confirm the treatment with your accountant.
Reports gym owners use
| Report | What it tells you |
|---|---|
| Active vs expired members | Current member base by plan and branch |
| Renewals due | Members expiring in the next 7, 15 or 30 days |
| Collections and dues | Payments received and amounts overdue |
| Check-ins by hour | Peak times and staffing needs |
| Trainer performance | Sessions delivered, packages sold and commission |
| Retail sales and stock | Best sellers and near-expiry items |
A practical rollout plan
- Members and plans: import members, set up plans and active subscriptions.
- Billing and payments: recurring invoices, payment modes and reminders.
- Front desk: check-in screen, member cards and access control integration.
- Trainers and classes: PT packages, session logs, commissions and class schedules.
- Retail and reports: POS, stock and owner dashboards.
The most important step is importing members with their correct plan end dates and balances, so nobody is billed twice or missed.

Frequently asked questions
Does ERPNext have a gym management module?
Not as a dedicated module. ERPNext provides customers, subscriptions, POS, stock, HR, payroll and accounting, and a gym setup adds check-ins, PT session tracking, freezes and class bookings through customisation.
Can ERPNext bill gym memberships automatically?
Yes. Subscription Plans create recurring invoices for monthly, quarterly or yearly memberships on schedule, and invoices can be emailed with a payment link.
Can ERPNext connect to turnstiles or biometric devices?
In most cases, yes. Check-ins can be recorded from devices that provide software exports or an API, and the check-in screen shows whether the membership is active.
How are personal trainer commissions calculated in ERPNext?
Completed sessions and PT package sales are logged against each trainer, and a report applies your commission rules. The amount can be added to payroll as a salary component.
Can members freeze or upgrade their membership?
Yes, with a small customisation. A freeze extends the end date by the frozen days, and an upgrade changes the plan and bills the difference.
Is ERPNext suitable for a single small gym?
Yes, though the benefit is greatest for gyms with several branches, PT packages and retail sales. Because there is no licence fee, a small gym pays only for setup, hosting and support.
