ERPNext for laundry and dry cleaning helps you track every garment from the counter or pickup van, through washing, pressing and quality checks, to delivery and payment. ERPNext has no ready-made laundry module, but its POS, sales, delivery, stock and accounting features, plus a laundry order DocType and status workflow, cover the full process.
Who this is for: owners of laundry shops, dry cleaning chains, central processing plants and on-demand pickup-and-delivery laundries in the UAE, Saudi Arabia, Qatar, Kuwait, Bahrain, Oman and India, including B2B laundries serving hotels, clinics and offices.
Key takeaways
- Garments are not stock: customer garments are tracked by tag on the order, while your detergents and hangers are stock.
- Price by item and service: a shirt washed and pressed is priced differently from a shirt dry cleaned or express.
- Status everyone can see: received, washing, pressing, ready, out for delivery and delivered, updated by scanning tags.
- B2B and packages: monthly contracts for hotels and prepaid packages for households can be handled in the same system.

Common problems in growing laundries
- Lost or mixed-up garments because tags are handwritten and orders are on paper slips.
- Customers calling to ask "is it ready?" because counter staff cannot see the order status in the plant.
- Inconsistent pricing across branches, with ad-hoc discounts and express charges.
- Drivers without a clear route for pickups and deliveries, and cash collected on delivery that does not reach the books.
- Hotel and corporate accounts billed late because piece counts are added up by hand.
How a laundry runs on ERPNext
| Step | ERPNext setup |
|---|---|
| Price list | Items for garment types (shirt, trouser, abaya, kandura, saree, bedsheet, curtain) with services as variants or a service field, and price lists by branch or customer |
| Order intake | Laundry Order DocType (or a customised Sales Order) at the counter or via the pickup app, listing each garment and service |
| Tagging | A unique tag number or barcode for each garment, printed on a heat-seal or paper tag |
| Processing | Status workflow updated by scanning tags at each station |
| Pickup and delivery | Delivery Trips with driver, vehicle, stops and time slots |
| Billing and payment | POS or Sales Invoice, with cash, card, online or account payment |
| Consumables | Detergents, chemicals, hangers and packaging as stock items issued to the plant |
Pricing by garment and service
Laundries price each combination of garment and service: wash and fold by kilo, wash and press by piece, dry clean, press only, stain treatment, express or same-day. In ERPNext this is a price list where each row is a garment-service combination. Express or special-care surcharges can be added as separate lines or calculated by pricing rules, and corporate customers can have their own price list. Pricing rules also handle promotions such as "5 shirts for the price of 4".
Order intake and garment tags
At the counter, staff pick the customer (searchable by mobile number), add garments by scanning or tapping, note stains, damage or missing buttons, and set the promised delivery date. ERPNext then prints a customer receipt and one tag per garment. For high-value items, you can attach photos to the order line so there is a record of the garment's condition at intake.
Because customer garments are not your inventory, they live on the order, not in stock ledgers. That keeps your stock reports clean and focused on consumables.
Processing status and the plant
A workflow moves each order, or each garment, through stages such as Received, Sorting, Washing or Dry Cleaning, Pressing, Quality Check, Packed, Ready and Delivered. Staff update the status by scanning tags at each station, so the counter, the customer service team and the driver all see the same live status. Orders that are close to their promised time but not ready are highlighted on a dashboard.
If you run several shops that send garments to a central plant, each shop is a branch with its own counter, and the plant sees all incoming orders with their source branch, so returns are routed back to the correct shop.

Pickup and delivery
For pickup-and-delivery laundries, ERPNext's Delivery Trip groups stops by driver and vehicle, with addresses, contact numbers and time slots. Drivers can use the ERPNext mobile app or a simple web page to mark pickups and deliveries and record cash collected. Cash on delivery is then reconciled when the driver returns, so collections match the invoices. Customers can be notified by email or WhatsApp when their order is picked up, ready and out for delivery.
Prepaid packages, memberships and loyalty
- Prepaid credit: customers pay in advance and orders are adjusted against their balance, which ERPNext records as a customer advance.
- Monthly plans: fixed monthly plans (for example a set number of pieces) can be billed through Subscriptions.
- Loyalty points: ERPNext's Loyalty Program lets customers earn and redeem points on POS invoices.
For POS promotions and discount rules, our post on automating POS offers and discounts in ERPNext shows the options.
B2B laundry for hotels, clinics and offices
Commercial laundry is usually high volume and contract-based. In ERPNext:
- Each client has its own price list, credit terms and billing cycle.
- Daily collection and delivery notes record piece counts by linen type, signed by the client.
- A monthly invoice is generated from all delivery notes in the period, with the client's PO number.
- Shortages and rewash counts are tracked, which helps resolve disputes quickly.
Consumables, machines and costs
Detergents, solvents, softeners, hangers and packaging are stock items. Issuing them to the plant each day lets you compare consumption with the volume processed. Washing machines, dryers and presses can be registered as assets, with depreciation and maintenance schedules. Utilities and rent can be split by cost centre if you run several branches or plants, giving a profit picture per branch.
VAT and GST
ERPNext prints tax invoices with VAT for the UAE and other GCC countries where VAT applies, and GST invoices in India. See our UAE VAT setup guide or ERPNext GST setup guide. For counter receipts in the GCC, a bilingual Arabic-English format is common. Confirm the applicable tax rates and invoicing rules with your adviser.

Frequently asked questions
Does ERPNext have a laundry management module?
Not as a standard module. ERPNext provides POS, sales, delivery, subscriptions, loyalty, stock and accounting, and a laundry setup adds a laundry order DocType, garment tags and a status workflow.
How are customer garments tracked in ERPNext?
Each garment gets a unique tag or barcode on the laundry order. Staff scan the tag at each station, so the order status updates and garments are matched back to the right customer.
Can ERPNext handle per-kilo and per-piece pricing?
Yes. Price lists can have per-kilo rates for wash and fold and per-piece rates for pressing and dry cleaning, with surcharges for express or special-care services.
Can ERPNext manage pickup and delivery drivers?
Yes. Delivery Trips assign stops to drivers and vehicles, drivers update status from a phone, and cash collected is reconciled against invoices.
Can I bill hotels and corporate clients monthly?
Yes. Daily delivery notes record piece counts, and a monthly invoice is created from them using the client’s own price list and payment terms.
Does ERPNext support VAT invoices for laundries in the UAE?
Yes. ERPNext prints VAT-compliant tax invoices, including bilingual Arabic-English formats, and prepares the VAT 201 return.
