ERPNext implementation cost in India 2026 price guide by Nexeves

If you're comparing ERP options, you've probably heard that ERPNext is "free". The software is free. Getting it set up properly for your business isn't. This guide explains what ERPNext implementation cost in India actually looks like in 2026: real ₹ ranges by business size, where the money goes, what pushes the bill up, and how to plan a budget you can stick to. It's written for owners of retail, trading, manufacturing, distribution and healthcare businesses.

Key takeaways

  • ERPNext has no licence fee and no per-user charge. You pay for implementation, hosting and (optionally) support.
  • Published 2026 price guides from Indian ERPNext partners put a small-business implementation at roughly ₹75,000–₹1,50,000 and a multi-location mid-sized rollout at ₹1,50,000–₹3,00,000, one-time and before GST.
  • Hosting on Frappe Cloud starts at ₹410 a month. Annual support (AMC) usually costs ₹30,000–₹1,20,000.
  • Heavy customisation and messy Tally/Excel data push costs up far more than the number of users does.
  • Nexeves typically charges ₹60,000–₹90,000 for a small business, ₹1–3 lakh for a mid-sized one and ₹4–8 lakh for large or multi-branch projects. The final price depends on scope.
  • Published partner timelines put small rollouts at 4–8 weeks. At Nexeves, a mid-sized business usually goes live in 2–3 months.

Why ERPNext has no licence fee but still costs money

ERPNext is open-source software released under the GNU GPL v3 licence. You can run it for 5 users or 500 without paying a licence fee, and there's no paid "enterprise edition" that unlocks features. That's the big difference from SAP Business One, Odoo Enterprise or other per-user ERPs, where you pay for every seat every year.

What you do pay for is the work of making ERPNext fit your business:

  • understanding how your business runs today (billing, stock, purchase, production, accounts)
  • configuring ERPNext to match: chart of accounts, GST, warehouses, price lists, approval rules, print formats
  • moving your data out of Tally, Excel or old software
  • training your team and supporting them through go-live
  • running the system: hosting, backups, upgrades and support

ERPNext cost components: where your money goes

The table below lists published 2026 market ranges from Indian ERPNext partners. All figures exclude 18% GST.

Cost component What it covers Typical market range (India, 2026)
Software licence ERPNext itself ₹0
Implementation & consulting Process study, configuration, testing, go-live ₹75,000–₹5,00,000+ depending on size (see next section)
Customisation Custom fields, reports, workflows, custom Frappe apps ₹500–₹2,000 per hour; a custom app ₹50,000–₹2,00,000
Data migration Masters, opening balances, history from Tally/Excel ₹20,000–₹2,00,000
Training Role-wise user training, admin training ₹10,000–₹50,000
Hosting Frappe Cloud, a partner-managed server or self-hosted ₹410–₹15,000+ per month
Support / AMC Bug fixes, help desk, upgrades, small changes ₹30,000–₹1,20,000+ per year
GST / e-invoice India Compliance app setup, e-invoice and e-way bill APIs App is free. API credits are bundled on Frappe Cloud or pay-per-use when self-hosted

1. Implementation and consulting

This is the biggest single cost, usually most of your first-year spend. It covers mapping your processes (the "fit-gap" study), configuration, testing and go-live support. See what an ERP consultant does.

2. Customisation

ERPNext covers most needs for trading, retail and manufacturing out of the box. Customisation means anything beyond configuration: a new document type, a special approval flow, an integration with your website or a marketplace, or a custom report. Published rates are ₹500–₹2,000 per hour, and a full custom app costs ₹50,000–₹2,00,000. Every customisation must also be retested at each upgrade.

3. Data migration from Tally or Excel

Most Indian SMEs move to ERPNext from Tally, Excel or both. Moving masters (customers, suppliers, items) and opening balances is often included in partner packages. The costs come from:

  • Historical transactions. Some partners charge ₹15,000–₹30,000 extra for one year of history and ₹25,000–₹50,000 for two to five years.
  • Data cleaning. Duplicate ledgers, inconsistent item names and unreconciled balances add ₹10,000–₹30,000 or more.

Many businesses migrate only masters and balances and keep old Tally data for reference. See ERPNext data migration challenges and how to avoid them for the common traps.

4. Training

Plan for role-wise sessions: billing staff, storekeepers, accounts, managers, plus one internal "ERP champion" trained as an admin. Training in the team's own language makes a real difference to adoption. Nexeves runs training in both Malayalam and English, which helps billing and store staff in Kerala get comfortable with the system faster.

5. Hosting: Frappe Cloud vs self-hosted

ERPNext hosting cost in India depends on where your system runs:

Option Published price Good for
Frappe Cloud shared site ₹410, ₹820, ₹2,050, ₹3,075 or ₹4,100 per month (more CPU and storage as you go up) Small teams with standard features
Frappe Cloud private bench From ₹2,050 per month per site (AWS/OCI) Businesses that need custom apps
Frappe Cloud dedicated server From ₹3,600 per month Larger teams, several sites, predictable performance
Self-hosted (AWS, DigitalOcean, own server) Roughly ₹2,000–₹15,000 per month, plus someone to run it Companies with their own IT/DevOps staff

Frappe Cloud includes backups, upgrades and monitoring. Self-hosting looks cheaper, but published estimates put part-time server administration alone at ₹15,000–₹40,000 a month.

6. Support and AMC

After go-live you'll need help with user questions, report changes and upgrades. Published AMC tiers in India:

  • Basic (bug fixes, email support): ₹30,000–₹60,000 per year
  • Standard (adds version upgrades and refresher training): ₹60,000–₹1,00,000 per year
  • Premium (adds priority response and development hours): ₹1,00,000–₹1,20,000+ per year

Always check in writing whether major version upgrades and GST rule changes are included.

7. GST, e-invoice and e-way bill compliance

GST in ERPNext is handled by the free, open-source India Compliance app: GSTR-1 and 3B reports, e-invoices, e-way bills, GSTIN validation and purchase reconciliation. On Frappe Cloud, the API features are included at no extra cost. On a self-hosted server you buy API credits at ₹0.50 each for the first 10,000 (₹0.40 and ₹0.30 at higher volumes, plus GST), with a minimum purchase of 1,000 credits.

E-invoicing has been mandatory since 1 August 2023 for businesses with aggregate turnover above ₹5 crore, so if you're above that line, budget the setup and testing time as part of implementation.

ERPNext cost by business size (₹ ranges)

These are one-time implementation fees before GST. Hosting and AMC come on top, as described above. The first column shows what other Indian ERPNext partners publish in their 2026 price guides. The second shows what Nexeves typically charges.

Business size Typical scope What the market quotes (published guides) What Nexeves typically charges
Small business (1–2 locations, up to ~15 users) Accounts + GST, stock, sales and purchase, Tally migration of masters and balances ₹75,000–₹1,50,000 ₹60,000–₹90,000
Mid-sized (multi-location, 15–50 users) 4–6 modules, custom print formats, role permissions, fuller data migration ₹1,50,000–₹3,00,000 ₹1,00,000–₹3,00,000
Large / multi-branch / multi-company (50+ users) Manufacturing, multiple GSTINs, integrations, custom apps ₹3,00,000–₹5,00,000+, and complex multi-entity projects ₹5–10 lakh+ ₹4,00,000–₹8,00,000

Our ranges are typical figures, not fixed packages. The final price depends on your scope: the modules you need, how much customisation, the state of your Tally or Excel data, and the number of branches and integrations. After the fit call you get a written quote that lists exactly what's included.

Market quotes vary widely too, from ₹3–4 lakh for some 10-user rollouts to ₹18–35 lakh for larger manufacturers replacing SAP or Tally, because partners price different scopes. Compare quotes line by line, not by the total.

What a first-year budget looks like

Here are two example compositions built from published ranges (not quotes):

Line item 15-user trading business 40-user manufacturer
Software licence ₹0 ₹0
Implementation & configuration ₹1,00,000–₹1,50,000 ₹2,20,000–₹3,10,000
Data migration ₹20,000–₹40,000 ₹50,000–₹1,00,000
Integrations Not needed ₹40,000–₹90,000
Training ₹10,000–₹25,000 ₹25,000–₹50,000
Hosting (12 months) ₹6,000–₹24,000 ₹24,000–₹90,000
Support / AMC (year 1) ₹30,000–₹60,000 ₹60,000–₹1,00,000
Year 1 total ₹1.5–2.25 lakh ₹3.5–5.5 lakh
Year 2 onward ₹36,000–₹84,000 / year ₹84,000–₹1.9 lakh / year

Year one is mostly implementation. After that, only hosting and support recur.

What makes ERPNext implementation costs go up

  1. Heavy customisation. Making ERPNext behave exactly like your old software is the most common cause of overruns.
  2. Messy data. Fifteen years of Tally with duplicate customers and item codes nobody agrees on turns migration into a project of its own.
  3. Many integrations. Each link to a website, marketplace, payment gateway, biometric device or logistics partner has to be built and tested separately.
  4. Manufacturing complexity. Multi-level BOMs, job work, subcontracting and costing rules take more configuration than trading.
  5. Multiple companies, branches or GSTINs. Inter-branch transfers, consolidation and separate GST registrations add setup and testing.
  6. Slow decisions and scope changes. Stalled sign-offs and new "must-haves" after sign-off are classic budget killers.

How to keep ERPNext costs down

  • Start with standard ERPNext. Run it for a few months before requesting changes. Many "required" customisations turn out to be unnecessary.
  • Go live in phases. Start with accounts, GST, stock and billing. Add manufacturing, HR or CRM once the team trusts the system.
  • Clean your data before migration. Merge duplicate ledgers and items in Tally or Excel yourself. It's the cheapest data cleaning you'll get.
  • Appoint one internal owner who can make decisions and speak for each department.
  • Ask for a written, fixed scope that lists every module, report, print format and integration in the price.

ERPNext vs Tally, Zoho and SAP Business One: total cost of ownership

At a high level, here's how the licence side compares, based on vendors' published prices (excluding GST, prices change, so check current rates):

ERPNext TallyPrime Zoho Books SAP Business One
Licence model Open source, ₹0 Gold (multi-user) ₹67,500 one-time, or ₹2,250/month rental Premium ₹2,999 per org per month (billed annually, 10 users) Per named user: Professional ₹1,59,905, Limited ₹82,914, Starter ₹67,515 (list)
Yearly renewal None (hosting + optional AMC) TSS ₹13,500/year (Gold) from year 2 Subscription continues, extra users ₹150/month each Annual maintenance, commonly ~18–22% of licence value
Scope Full ERP: accounts, stock, buying, selling, manufacturing, HR, CRM, projects, POS Accounting, inventory, GST, payroll. Cloud access sold separately Accounting and inventory. Wider ERP needs other Zoho apps Full ERP
Typical implementation ₹75,000–₹5,00,000+ Low, often done by a local Tally partner Low to moderate One published 10-user example: ~₹19.5 lakh in year one (licence + implementation)

How to read this: if you only need accounting and GST billing, Tally or Zoho Books will cost less. ERPNext makes sense once you need stock across branches, manufacturing, CRM, HR or approvals in one system, with no per-user fee as you grow. Against SAP Business One the gap is mainly licensing, and it widens with every user and every year. Typical ERPNext implementation timeline

Phase What happens
Discovery & fit-gap Process walkthrough, scope document, sign-off
Configuration Masters, GST, warehouses, workflows, print formats
Data migration Tally/Excel masters, opening balances, test imports
Training & UAT Role-wise training (Malayalam or English), testing with real transactions
Go-live & hypercare Cut-over, daily support for the first weeks

How long this takes depends on scope. Published partner timelines in the market are 4–6 weeks for small businesses, 6–8 weeks for a standard rollout and 10–14 weeks for multi-location or heavily customised projects. At Nexeves, go-live for a mid-sized business usually takes 2–3 months. Smaller rollouts are typically quicker, and large or multi-branch projects take longer, depending on scope.

How Nexeves scopes your ERPNext budget

Our team in Kozhikode works with businesses across India and the GCC. We scope every project in three steps:

  1. Free 30-minute ERP fit call. We review your current setup, team, branches and must-haves, and tell you honestly if ERPNext fits.
  2. Written scope and fixed quote. Every module, report, integration and migration item is listed.
  3. Phased go-live. We start with what hurts most, then add modules.

Example: a clothing manufacturer with wholesale and retail

One Nexeves client (details anonymised) is a clothing manufacturer that also runs a wholesale business and retail stores. A business like this usually needs ERPNext to connect several parts that often live in separate tools:

  • Manufacturing: bills of materials for fabric, trims and accessories, production or job-work orders, and material consumption
  • Wholesale orders: dealer price lists, bulk sales orders, delivery against orders and customer credit
  • Retail POS: counter billing in the stores, linked to the same stock and accounts
  • Stock across sizes and colours: item variants, so every size and colour of a design is tracked in each warehouse and store
  • GST: correct tax on sales and purchases, plus e-invoices and e-way bills where they apply

How many of these a business needs is what moves it between the cost bands above. This is an illustration of typical scope, not a case study.

Frequently asked questions

How much does ERPNext implementation cost in India?

ERPNext itself has no licence fee. Published 2026 price guides from Indian partners put implementation at about ₹75,000–₹1,50,000 for a small business, ₹1,50,000–₹3,00,000 for a multi-location mid-sized company, and ₹3,00,000–₹5,00,000 or more for larger or multi-branch businesses, before GST. Nexeves typically charges ₹60,000–₹90,000 for a small business, ₹1–3 lakh for a mid-sized one and ₹4–8 lakh for large or multi-branch projects, depending on scope. Hosting and annual support are extra.

Is ERPNext free for small businesses?

Yes, the software is free and open source (GPL v3) with no per-user fee. A small business still pays for setup, data migration and training, plus hosting, which starts at ₹410 a month on Frappe Cloud's entry plan.

What is the ERPNext hosting cost in India?

Frappe Cloud shared site plans are ₹410, ₹820, ₹2,050, ₹3,075 and ₹4,100 a month. Private benches start at ₹2,050 a month and dedicated servers at ₹3,600 a month. Self-hosting on AWS or DigitalOcean costs roughly ₹2,000–₹15,000 a month plus the cost of someone to manage the server.

How much does Tally to ERPNext migration cost?

Migrating masters and opening balances is often included in implementation packages. Published add-on rates for historical transactions are about ₹15,000–₹50,000 depending on how many years you move, and cleaning messy Tally data can add ₹10,000–₹30,000 or more.

Is ERPNext cheaper than Tally?

For accounting and GST billing alone, TallyPrime is cheaper: Gold costs ₹67,500 one-time plus ₹13,500 a year for TSS from year two. ERPNext costs more upfront because of implementation, but it covers stock across branches, manufacturing, CRM, HR and approvals in one system with no per-user fee as you grow.

How long does ERPNext implementation take?

Published partner timelines are 4–6 weeks for a small business, 6–8 weeks for a standard rollout and 10–14 weeks for multi-location or heavily customised projects. At Nexeves, a mid-sized business usually goes live in 2–3 months, depending on scope. Clean data and quick decisions shorten the timeline more than anything else.

Do I need an AMC after ERPNext goes live?

It is optional but recommended, because GST rules and ERPNext versions keep changing. Published AMC tiers in India range from about ₹30,000 to ₹1,20,000 or more a year. Check whether version upgrades and compliance changes are included.
