ERPNext Demo & Free Trial: How to Evaluate It Properly

ERPNext demo and free trial evaluation guide with scorecard

Most people who search for an ERPNext demo or free trial want the same thing: proof that it will work for their business before they commit time and money. The software is free and open source, so trying it costs little. The danger is a trial that looks good and teaches you nothing, because you clicked around sample data for an hour.

This guide shows the ways to try ERPNext, what each is good for, and how to run an evaluation that actually predicts success. It works for any ERP, so you can use the same method when you compare options in our guides for India and the UAE and GCC.

Key takeaways

  • You can try ERPNext at no software cost. Frappe Cloud offers a 14-day free trial, and ERPNext can also be run locally for evaluation.
  • A trial is not a pilot. Trial and demo sites are for learning. Plan a fresh, properly configured site for production.
  • Test your own process, not the sample data: one sale, one purchase, one return, one payment, and your month-end reports.
  • Score what you saw. A simple scorecard stops the loudest opinion in the room from deciding.

Want a demo built around your business?

Skip the generic demo. Send us three sample invoices and your item list, and we will show you your own process running in ERPNext, free of charge.

Four ways to try ERPNext

Option What you get Best for Limits
Frappe Cloud free trial A hosted ERPNext site for 14 days, set up by Frappe Exploring screens and basic flows quickly Short window; generic setup; you must subscribe to continue
Local Docker demo A disposable ERPNext on your own computer using the frappe_docker evaluation setup Technical users who want to explore without signing up Evaluation only; not for custom apps or real data; discard afterwards
Partner-hosted demo A site prepared by an implementation partner with your items, customers and a few sample documents Business owners who want to see their own process Quality depends on the partner; ask what is configured and what is simulated
Guided walkthrough A live session where a consultant runs your scenarios Teams that want questions answered in real time Not hands-on unless you ask for a sandbox login

Frappe describes the Cloud trial as a 14-day free trial for first-time users, after which you subscribe to continue. For the local option, the frappe_docker project provides an evaluation stack, started with docker compose -f pwd.yml up -d, and its documentation states that it is meant for evaluation, not production. Check the current instructions in the repository before you start, because they change between releases.

What a trial can and cannot tell you

  • It can tell you whether the interface suits your team, how documents flow, and whether the reports look useful.
  • It cannot tell you how your tax setup, print formats, approvals and integrations will behave, because those are configured during implementation.
  • It cannot tell you the real effort, which sits in data cleanup, process design and training. Our posts on implementation timelines and implementation cost cover that side.

The ten-step demo script

Run these steps in the same order for every system you evaluate. Use your own item names, a real customer and real prices, so the results are comparable.

  1. Create a customer and an item with your real tax category and unit of measure.
  2. Raise a quotation and convert it to a sales order.
  3. Deliver the goods and invoice them with correct tax lines, and print the invoice in your own format.
  4. Record the customer payment against the invoice, including a part payment.
  5. Raise a purchase order, receive the goods and book the supplier invoice.
  6. Transfer stock between two warehouses and check balances by warehouse.
  7. Process a sales return and a purchase return, and check that stock and accounts both update.
  8. Test an approval: for example, a discount above a limit needing manager approval.
  9. Open the reports your owner and accountant use every month: receivables ageing, stock balance, profit and loss, and tax report.
  10. Add a user with limited permissions, and confirm what they can and cannot see.

If you operate in a regulated market, add one more test: the compliance document. In India that is an e-invoice or e-way bill, and in the UAE or Saudi Arabia it is the VAT invoice and, as applicable, an e-invoice. Our GST setup guide shows what a correct configuration looks like.

A simple scorecard

Score each system from 1 to 5 on the rows below, and have at least two people from different departments score separately before you compare.

Criterion What to look for Weight (suggested)
Fit with your process Could your team follow the ten steps without workarounds? High
Compliance Tax, e-invoicing and statutory reports for your country High
Ease of use Time to complete a sale with no training Medium
Reporting The monthly reports you need, without exporting to Excel High
Customisation How changes are made, who can make them, and what it costs Medium
Partner and support References, response times and who owns the system after go-live High
Five-year cost Licence, implementation, hosting, support and upgrades High

How to get a demo that is worth your time

  • Share your data in advance: an item list, five customers and three real invoices are enough for a convincing demo.
  • Ask for your documents, not a sample: the invoice and delivery note should carry your logo, your tax details and your terms.
  • Bring the people who will use it, not only the owner. Adoption is decided by the accountant, the storekeeper and the sales team. Our post on why employees resist ERP explains why.
  • Ask what is simulated. A good partner will tell you which parts are configured and which are mock-ups.
  • Request a sandbox login so your team can try the flows without the consultant driving.

Mistakes that make a trial misleading

  • Judging by sample data. Pre-filled demo data hides the real difficulty of your own masters and opening balances.
  • Testing only the happy path. Returns, part payments, cancellations and corrections are where systems differ.
  • Expecting the trial to become production. Start production on a fresh site, with a plan for data and configuration. Our setup process guide and go-live best practices show how.
  • Comparing different scenarios. If you give one vendor an easy case and another a hard one, the comparison is meaningless.
  • Skipping the cost conversation. A good demo followed by a vague quote is a warning sign.

After the trial: the next three steps

  1. Write down the gaps the trial revealed, and ask each partner how they would close them and at what cost.
  2. Define a pilot: a small, real scope such as one branch or one process, with a start date, a success measure and an end date.
  3. Build the business case. Our guide to building an ERP business case shows how to turn trial findings into numbers your management can approve.

How Nexeves runs demos

We ask for a small sample of your real data, build your scenarios in a sandbox, and run the session with your team rather than for them. We say honestly what is configured, what would need customisation, and what we would not recommend. See our ERPNext implementation services for what follows a successful demo.

Frequently asked questions

Is there a free trial of ERPNext?

Yes. Frappe Cloud offers a 14-day free trial for first-time users, and ERPNext itself is free and open source, so you can also run it locally for evaluation.

Can I use the trial site for my real business?

We advise against it. Trial and local demo setups are for evaluation. Start production on a fresh site with planned configuration, data migration and backups.

Is ERPNext really free?

The software is open source under the GNU GPL-3.0 licence. You pay for hosting, implementation, customisation, training and support, so compare total cost and not only the licence.

How long should an ERP evaluation take?

Two weeks is enough for a focused evaluation: a few days to prepare data, a few sessions to run the demo script, and time to score and compare costs.

Can Nexeves set up a demo with my data?

Yes. Send us a sample item list, a few customers and some real invoices, and we will prepare a sandbox that shows your process in ERPNext.

What should I test first in an ERPNext demo?

Start with the sales-to-cash and purchase-to-pay flows, including tax and print formats, then test returns, approvals and the monthly reports you rely on.

Evaluate with confidence

Nexeves will set up a demo with your data, walk your team through it, and give you an honest view of fit, cost and effort.
