ERPNext vs Tally Prime: When Should an Indian Business Switch?

ERPNext vs Tally Prime comparison for Indian businesses: when to switch from Tally to ERPNext

ERPNext vs Tally comes down to one question: do you need accounting software or a full business system? If you mainly need books, GST returns and billing for a few users, TallyPrime is cheaper and simpler. If stock across branches, manufacturing, sales teams, approvals or HR now live in Excel and WhatsApp around Tally, it's time to look at ERPNext.

Who this is for: owners and finance heads of Indian trading, retail, distribution and manufacturing businesses (especially in Kozhikode and across Kerala) with roughly 5 to 100 staff, currently on TallyPrime.

Key takeaways

  • TallyPrime is an accounting-first product. It's excellent for books, GST and billing, and most Indian CAs know it well.
  • ERPNext is a full ERP (accounts, stock, buying, selling, manufacturing, CRM, HR, projects, POS) with no licence or per-user fee.
  • On licences alone, Tally Gold costs ₹67,500 one-time plus ₹13,500 a year for TSS from year two. ERPNext costs ₹0 in licences but needs implementation and hosting.
  • The switch usually pays off when you have multiple branches or warehouses, a growing team, or processes outside Tally.
  • Most businesses move masters and opening balances from Tally and keep old Tally data for reference.

How to read this: Tally wins on simplicity and starting cost. ERPNext wins once the business has more moving parts than the accounts team can track in one desktop application.

Where TallyPrime is the better choice

Tally is popular for good reasons. Stay on it if most of these are true:

  • You mainly need accounting and GST. Billing, ledgers, GST returns and bank reconciliation cover 90% of your work.
  • One location, a few users. One shop, office or small godown with 1–3 people entering data.
  • Your CA does most of the work. Your auditor already works in Tally and your process is built around that.
  • Stock is simple. You don't need warehouse-wise reorder levels, batch expiry tracking across branches or production planning.
  • You don't want a project. Tally can be bought, installed and used the same week.

There's no shame in staying on Tally. Moving to an ERP before you need it adds cost and change without a payoff.

Where ERPNext is the better choice

ERPNext fits when the business has grown around Tally rather than inside it. Typical cases:

  • Multi-branch retail or distribution. Stock, pricing and billing across several stores or godowns, all visible in real time with ERPNext inventory management.
  • Manufacturing. Bills of materials, work orders, job work with subcontractors, material consumption and costing in one flow.
  • Sales teams. Leads, quotations and sales orders tracked by salesperson, with credit limits and approvals.
  • Owners who travel. A browser-based system with a mobile app gives live sales, stock and receivables from anywhere.
  • Growing headcount. ERPNext has no per-user fee, so adding storekeepers, sales staff or branch managers doesn't add licence cost.

7 signs it's time to switch from Tally to ERPNext

If three or more of these sound familiar, it's worth a serious look:

  1. Stock never matches. Physical stock and Tally stock differ every month, and nobody knows which godown is right.
  2. Excel runs the business. Sales orders, production plans, pending deliveries or commission sheets live in spreadsheets next to Tally.
  3. Data is entered twice. Billing in one tool, accounts in Tally, and someone re-keys everything at month end.
  4. Branches send data late. Branch Tally data is synced or emailed, so head office sees last week's numbers.
  5. No approval trail. Purchase orders, discounts and credit sales go through on a phone call, with no record of who approved what.
  6. You can't see margins. Item-wise, customer-wise or branch-wise profitability needs a day of Excel work.
  7. You're adding software around Tally. A separate POS, a CRM, an HR tool and a production tracker, none of them connected.

ERPNext vs Tally cost: a fair comparison

Licence fees are only part of the picture. Here's what each option involves over the first year and beyond.

Cost item TallyPrime Gold ERPNext
Software licence ₹67,500 one-time (or ₹24,300 a year rental) ₹0
Yearly renewal TSS ₹13,500 a year from year two None
Cloud or remote access Sold separately Frappe Cloud hosting from ₹410 a month, or your own server
Implementation Low, often handled by a local Tally partner One-time project. Nexeves typically charges ₹60,000–₹90,000 for a small business and ₹1–3 lakh for a mid-sized one, depending on scope
Add-on tools (POS, CRM, HR, production) Separate products or custom TDL Included in ERPNext
Extra users Covered by Gold's multi-user licence on your LAN No per-user fee

For a business that only needs accounts and GST, Tally will cost less. ERPNext costs more upfront because of implementation, but it often replaces two or three separate tools, and the gap closes as the team and branch count grow. GST, e-invoicing and compliance: Tally vs ERPNext

Both handle Indian GST well. The difference is in how compliance fits into the rest of your work.

GST in TallyPrime

TallyPrime has GST returns, e-invoice and e-way bill generation built in. It's familiar to accountants, and many CAs prefer to receive data in Tally format.

GST in ERPNext with India Compliance

ERPNext handles GST through the free, open-source India Compliance app:

  • GSTR-1 and GSTR-3B reports
  • e-invoice and e-way bill generation from the sales invoice
  • GSTIN validation on customers and suppliers
  • purchase reconciliation against GSTR-2B

E-invoicing has been mandatory since 1 August 2023 for businesses with aggregate turnover above ₹5 crore. From 1 April 2025, businesses with turnover of ₹10 crore or more must report e-invoices on the IRP within 30 days of the invoice date.

ERPNext generates the e-invoice at the moment you submit the sales invoice, which makes that window easy to meet. See the official GST e-invoice portal for current rules, and our post on how taxes are calculated in ERPNext.

Can ERPNext replace Tally completely?

Yes, for day-to-day work. ERPNext covers the chart of accounts, vouchers, GST, bank reconciliation, receivables, payables, cost centres and financial statements. Many businesses then run everything in ERPNext and give their auditor read-only access or exported reports.

Some keep Tally for a transition period, usually to look up old years. That's normal. You don't have to move ten years of vouchers into ERPNext.

What switching from Tally to ERPNext involves

A typical switch has five steps:

  1. Fit-gap study. Map how you bill, buy, store and produce today, and decide what ERPNext should handle.
  2. Setup. Company, chart of accounts, GST, warehouses, price lists, print formats and user roles.
  3. Data migration. Customers, suppliers, items, ledgers and opening balances from Tally. Read our Tally to ERPNext migration guide for the step-by-step process.
  4. Training and testing. Role-wise training for billing, stores and accounts, then testing with real transactions.
  5. Go-live. Pick a clean cut-over date, ideally the start of a month or quarter.

At Nexeves, a mid-sized business usually goes live in 2–3 months. Smaller rollouts are quicker. Our ERPNext implementation timeline post explains each phase.

Example: clothing manufacturer with wholesale and retail

One Nexeves client (anonymised) is a clothing manufacturer that also runs wholesale and retail. A business like this often hits Tally's limits first in production and stock across sizes and colours.

In ERPNext, manufacturing, dealer orders, store billing and item variants share one stock ledger and one set of accounts. This is an illustration of typical scope, not a case study.

Running Tally in the GCC too?

Some Indian groups also run companies in the Gulf. ERPNext can hold your Indian company and your Gulf companies in one system, each with its own currency and tax setup. If you trade in the UAE (Dubai, Abu Dhabi), Saudi Arabia (Riyadh, Jeddah), Qatar (Doha), Kuwait, Bahrain or Oman (Muscat), see our guides to UAE e-invoicing in ERPNext and ERPNext ZATCA Phase 2.

Frequently asked questions

Is ERPNext better than Tally?

It depends on what you need. TallyPrime is better for simple accounting, GST and billing with a few users.

ERPNext is better when you need stock across branches, manufacturing, CRM, approvals or HR in one system. ERPNext has no licence fee but needs implementation, so it pays off as the business grows.

Is ERPNext cheaper than Tally Prime?

On licences, yes: ERPNext costs nothing, while TallyPrime Gold is ₹67,500 one-time plus ₹13,500 a year for TSS from year two. But ERPNext needs implementation and hosting, so for accounting alone Tally usually costs less. ERPNext becomes better value once it replaces several separate tools.

Can ERPNext replace Tally for GST filing?

Yes. With the free India Compliance app, ERPNext prepares GSTR-1 and GSTR-3B data, generates e-invoices and e-way bills, validates GSTINs and reconciles purchases against GSTR-2B. Many businesses file GST from ERPNext and share reports with their CA, though some auditors still ask for data in Tally format.

When should a business move from Tally to an ERP?

Consider moving when stock doesn't match across godowns, sales or production runs in Excel, branches send data late, data is entered twice, or you can't see margins by item, customer or branch. If three or more of these apply, an ERP like ERPNext will usually save more than it costs.

Can I migrate my Tally data to ERPNext?

Yes. Customers, suppliers, items, the chart of accounts and opening balances are exported from Tally as XML and imported into ERPNext.

Frappe's Tally Migrator app guides this on ERPNext version 16. Most businesses move masters and balances only and keep old Tally data for reference.

How long does it take to switch from Tally to ERPNext?

It depends on scope and data quality. At Nexeves, a mid-sized business usually goes live in 2–3 months, and smaller rollouts are typically quicker. Clean Tally data, quick decisions and one internal owner shorten the timeline more than anything else.
