Tally to ERPNext Migration: Step-by-Step Guide (Masters, Balances, GST)

Tally to ERPNext migration guide: moving masters, opening balances and GST data from TallyPrime to ERPNext

A Tally to ERPNext migration moves your masters (ledgers, customers, suppliers, items, godowns) and your opening balances from TallyPrime into ERPNext on a fixed cut-over date. Most businesses don't move years of old vouchers. They clean the data in Tally, export it as XML, import it into ERPNext, set up GST with the India Compliance app, and reconcile the trial balance before going live.

Who this is for: accountants, finance managers and owners of Indian SMEs on TallyPrime (traders, distributors, retailers and manufacturers in Kozhikode, across Kerala and the rest of India) who've decided to move to ERPNext.

Key takeaways

  • Pick a clean cut-over date, ideally the first day of a month, quarter or financial year, so GST returns don't split across two systems.
  • Clean data in Tally first: merge duplicate ledgers, fix GSTINs, HSN codes and units, and reconcile banks.
  • Export masters as XML from Tally with "Export closing balance as opening balance" set to Yes.
  • Load balances with the right ERPNext tools: Opening Invoice Creation Tool for bills, Stock Reconciliation for stock, an opening Journal Entry for the rest.
  • Reconcile before go-live: trial balance, receivables, payables, stock value and bank balances must match Tally, and Temporary Opening must be zero.

What to migrate from Tally (and what to leave)

Decide the scope first. It drives cost and timeline more than anything else.

Data in Tally Migrate? Where it goes in ERPNext
Ledgers and groups Yes Chart of Accounts
Sundry debtors and creditors Yes Customers and Suppliers (with GSTIN, addresses, GST category)
Stock items, stock groups, units Yes Items, Item Groups, UOMs (with HSN codes)
Godowns Yes Warehouses
Price levels Usually Price Lists and Item Prices
Cost centres Yes Cost Centers
Bills of materials If you manufacture BOMs
Batches If tracked Batches
Closing balances Yes Opening Journal Entry, opening invoices and opening stock
Old vouchers (past years) Usually not Keep Tally read-only for reference

Moving historical vouchers is possible but slow, expensive and rarely worth it. Most businesses keep one licensed Tally installation for lookups and audits.

Step 1: Choose your cut-over date

The cut-over date is the day ERPNext takes over. Everything before it stays in Tally. Everything from it is entered in ERPNext.

  • Best: 1 April (start of the financial year). Clean books, no year-to-date P&L to bring across.
  • Good: the first day of a quarter or month. GSTR-1 and GSTR-3B for the previous month are filed from Tally, and the new month starts in ERPNext.
  • Avoid: mid-month. You'd have to combine data from two systems for one GST return.

If you go live mid-year, decide how year-to-date income and expenses will appear in ERPNext, and document the method.

Step 2: Clean your data in Tally

Cleaning in Tally before export is the cheapest data cleaning you'll get. Focus on:

  • Duplicate ledgers. "ABC Traders", "A.B.C. Traders" and "ABC Trader" should be one party.
  • GSTINs and states. Every registered party needs a valid GSTIN and the matching state.
  • HSN codes and units. Every item needs an HSN code and a clear unit.
  • Unreconciled balances. Reconcile bank accounts and clear old suspense entries.
  • Dead masters. Mark inactive customers, suppliers and items so you don't carry clutter forward.

Step 3: Set up ERPNext before importing

Imports fail when the destination isn't ready. Set up these first:

  1. Company, fiscal year and currency.
  2. India Compliance app, for GST fields, tax templates, e-invoice and e-way bill.
  3. Company GSTIN and addresses, one per registration.
  4. Chart of accounts approach: use ERPNext's standard accounts and map Tally ledgers into them, or mirror Tally's group structure. Our chart of accounts guide helps you choose.
  5. Customer groups, supplier groups, warehouses and cost centres.

Step 4: Export masters from Tally

In TallyPrime, go to Gateway of Tally → Export → Masters → Configure and set:

Setting Value
Type of master All Masters
Include dependent masters Yes
Export closing balance as opening balance Yes
File format XML (Data Interchange)

"Export closing balance as opening balance" turns your closing position into the opening figures ERPNext needs. Export from the company and period that ends on the day before cut-over.

Step 5: Import masters into ERPNext

You have two main options.

Option A: Frappe's Tally Migrator app (ERPNext version 16)

Frappe publishes a Tally Migrator app for ERPNext version 16 and TallyPrime. You upload the Masters XML into a guided wizard. It checks the data before writing anything, then creates customers, suppliers, items, UOMs with GST unit codes, price lists, BOMs, batches, accounts, cost centres and warehouses.

It also posts opening balances and produces a reconciliation report against Tally's opening trial balance. A run can be reverted if something goes wrong.

Know its limits: it moves masters and opening balances, not historical transactions. GST fields need the India Compliance app, and TDS/TCS, payroll and custom fields (UDFs) aren't migrated yet. Skipped items are listed in its log.

Option B: ERPNext's Data Import tool

On older versions, or for full control, export Tally reports to Excel, reshape them into ERPNext's import templates and load them with the standard Data Import tool. This takes longer but works on any version and lets you clean data during the reshaping.

Whichever route you take, import in order: accounts, groups and warehouses first, then parties and items, then balances.

Step 6: Load opening balances the right way

ERPNext uses different tools for different balances. Using the right one keeps ageing, GST and stock valuation correct.

Balance ERPNext tool
Unpaid customer bills (bill-by-bill) Opening Invoice Creation Tool
Unpaid supplier bills Opening Invoice Creation Tool
Stock quantity and value, per warehouse Stock Reconciliation with purpose "Opening Stock"
Fixed assets Asset opening records
All other ledgers (bank, loans, capital, GST, deposits) Journal Entry with "Is Opening" set to Yes

Two rules matter. First, don't put a debtor or creditor balance in the opening Journal Entry if an opening invoice already creates it, or you'll double-count.

Second, ERPNext balances opening entries through a Temporary Opening account. When everything is posted, that account must be zero.

Step 7: Set up GST in ERPNext

GST is where most Indian migrations need care. With India Compliance installed:

  • Map GST accounts. Point CGST, SGST, IGST and cess input and output accounts in GST Settings to the ledgers you migrated.
  • Tax templates. Use in-state and out-of-state templates so ERPNext picks CGST + SGST or IGST from the place of supply.
  • Party details. Check GSTIN and GST category (registered, unregistered, SEZ, overseas) on customers and suppliers.
  • Items. Confirm HSN codes and item tax templates for each rate.
  • E-invoice and e-way bill. If your aggregate turnover is above ₹5 crore, set up e-invoicing and test it before go-live. Businesses with turnover of ₹10 crore or more must report e-invoices on the IRP within 30 days of the invoice date. See the official GST e-invoice portal for current rules.

Your GST input and output ledger balances come across in the opening Journal Entry. Your input tax credit sits on the GST portal's electronic credit ledger, not in ERPNext, so it doesn't need migrating. For more on tax logic, read how taxes are calculated in ERPNext.

Step 8: Reconcile before you go live

Don't go live until these match Tally at the cut-over date:

Check Compare
Trial balance ERPNext vs Tally, account by account
Receivables Customer-wise outstanding and ageing
Payables Supplier-wise outstanding
Stock Quantity and value per warehouse
Bank Balance per bank account
Temporary Opening Must be zero

Ask your auditor or CA to sign off the opening trial balance. It saves arguments at year end.

Step 9: Train, go live and keep Tally read-only

  • Train by role. Billing, stores, purchase and accounts each need short, practical sessions. Nexeves trains teams in Malayalam and English.
  • Go live on the cut-over date. All new transactions go into ERPNext from day one.
  • Keep Tally for reference. Lock the old company for lookups and audits.
  • Support the first weeks closely. Expect questions and small fixes as staff settle in.

How long and how much does it cost?

It depends on data quality, the number of companies and godowns, and whether you manufacture. At Nexeves, a mid-sized business usually goes live on ERPNext in 2–3 months. Moving masters and opening balances is often included in ERPNext implementation packages.

Nexeves typically charges ₹60,000–₹90,000 for a small business and ₹1–3 lakh for a mid-sized one, depending on scope. See our ERPNext implementation cost guide and the ERPNext implementation timeline for details.

Common Tally to ERPNext migration mistakes

  1. Migrating dirty data. Duplicates in Tally become duplicates in ERPNext.
  2. Double-counting party balances in both opening invoices and the opening Journal Entry.
  3. Going live mid-month, then struggling to file one GST return from two systems.
  4. Skipping the reconciliation and finding differences at year end.
  5. Moving every old voucher when masters and balances were enough.

Tally users in the GCC

Some Indian groups also run Tally for companies in the Gulf. The same approach works there, with VAT instead of GST.

Frequently asked questions

How do I migrate data from Tally to ERPNext?

Clean your data in Tally, export all masters as XML with closing balances as opening balances, and import them into ERPNext using Frappe's Tally Migrator app or the Data Import tool. Then load opening invoices, opening stock and an opening Journal Entry, set up GST, and reconcile the trial balance before go-live.

Can I import Tally transactions into ERPNext?

You can, but most businesses don't. Frappe's Tally Migrator app moves masters and opening balances, not historical vouchers.

Importing old transactions takes extra tools or custom work and adds cost. Keeping Tally read-only for past years is usually simpler, and your auditor can still access the history.

How do I bring Tally opening balances into ERPNext?

Use the Opening Invoice Creation Tool for unpaid customer and supplier bills, Stock Reconciliation with the Opening Stock purpose for inventory, and a Journal Entry marked "Is Opening" for other ledgers. Afterwards, check the Temporary Opening account is zero and that the trial balance matches Tally.

What is the best date to migrate from Tally to ERPNext?

The start of a financial year (1 April) is best, because there's no year-to-date profit and loss to bring across. The first day of a quarter or month also works. Avoid going live mid-month, because one GST return would then need data from two systems.

Will my GST data move from Tally to ERPNext?

GSTINs, GST categories, HSN codes and GST ledger balances move across with the masters and opening balances. Your input tax credit stays on the GST portal's electronic credit ledger. With the India Compliance app, ERPNext then handles GSTR-1 and GSTR-3B data, e-invoices and e-way bills from the cut-over date.

How much does Tally to ERPNext migration cost?

Moving masters and opening balances is often included in ERPNext implementation packages. Nexeves typically charges ₹60,000–₹90,000 for a small business and ₹1–3 lakh for a mid-sized one, depending on scope. Messy data, several companies or moving historical vouchers add time and cost.
